The Mobile Clinic Coordinator and Organizer, is responsible for helping oversee the successful completion of projects and events They are primarily responsible for establishing partnership, coordinating, planning, and managing patient events and traveling to different venues and organizations in the San Bernardino County and Riverside County. The Mobile Clinic Coordinator and Organizer is responsible for adhering to all mobile budgets and must understand what it takes to ensure the logistics for each Mobile event work while keeping everything within the allocated budget and ensuring that the events are carried out smoothly and successfully.

They plan, coordinate, monitor, and participate in administrative and operational activities associated with the Mobile Clinic and perform related community relations activities and other related work. This includes scheduling and coordinating outreach locations, maintaining required supplies and equipment, performing intake activities and doing outreach.

Mandatory travel to various clinic locations in the Inland Empire, Coachella Valley, and Surrounding Regions.

REQUIRED SKILLS AND QUALIFICATIONS

Education: (Required)

  • High School Diploma

Experience: (Required)

  • Bilingual English/Spanish
  • Supervisory and managerial skills to supervise mobile clinic operations.
  • Ability to work with staff and patients to solve problems and provide the highest level of patient satisfaction.
  • Non-judgmental, empathetic, caring individual with the ability to listen well and to demonstrate confidentiality and respect for clients of all ethnic, religious and socio-economic groups.
  • Within scope of training.
  • Basic computer skills.

Licensure/Certification:

  • CAA Certification
  • Employees are responsible for maintaining individual certifications as required by job function or by law and provide verification and recertification when requested by management

Additional Requirements:

  • Valid driver's license and reliable transportation.
  • Ability to be covered by car insurance as required.
  • Ability to drive and travel by car as needed.
  • Flexibility to travel between Los Angeles, San Bernardino, and Riverside Counties as needed.

Duties and Responsibilities:

  • Plans, organizes, coordinates, and administers the activities of the Mobile Health Clinic and the monthly calendar.
  • Assists the Director of Operations with the development of informational materials to promote accurate public understanding of clinical activities, services, and requirements.
  • Coordinates with Facilities Manager regarding maintenance and janitorial services for Mobile Clinic.
  • Assists the Director of Operations in developing and establishing clinical goals and objectives for the mobile clinic.
  • Assists the Director of Clinic Operations in the development of the program budget.
  • Responsible for clinic productivity and administration of billing duties.
  • Maintenance of data and records, assists in analyzing data including number of patients seen at mobile unit, exams, enrollments and other data and prepares program activity reports and statistical materials for management review.
  • Trains and determines work assignments and priorities and participates in personnel selection of mobile clinic staff.
  • Coordinates across departments to ensure all needs are met Facilities (driver scheduling and any advance needed); Public Affairs (communications/media relations, materials); Community Relations (outreach staff); Clinical (provider, RN and MA scheduling).
  • Conducts meetings to resolve problems, address issues, discuss clinic goals and objectives, and disseminates information.
  • Ensures program compliance with applicable regulations.
  • Orders and maintains supplies, arrange for equipment maintenance, and keeps reception area organized.
  • Inputs patient information and demographics into computer system.
  • Professionally deals with confidential and sensitive issues.
  • Maintains patient flow and reduces waiting time as much as possible.
  • Schedules appointments for patients and specialty care.
  • Collects co-payments and/or fees and donations, processing them as directed by clinic processes.
  • Practice Management System (PMS) Registration, Scheduling, and Billing.
  • Responsible for completing and approving staff timecards and time-off requests to ensure all employees’ correct work hours are accurately reflected on timecards and paid correctly.
  • Manages mobile audits and compliance activities; Monitor and ensure the mobile complies with protocols and procedures, and relevant regulations at the site level, including HIPAA and Title 22.
  • Responsible for establishing and maintaining relationships with patients, community partners, School Districts, organizations, programs, clients, and venues.
  • Follow the step-by-step guide outlined in the SJCH contract review process to establish or create a comprehensive Memorandum of Understanding (MOU) that formalizes partnerships effectively.
  • Planning and Coordinating event details and all aspects; including but not limited to staff seating, dining, restroom, and other guest accommodations.
  • Planning and Coordinating vaccines transport for events.
  • Plan for any possible/potential scenarios that can impact the integrity of the event.
  • Maintain and manage working knowledge of the organized event.
  • Managing and remaining under budget with all costs.
  • Managing events and addressing and resolving potential problems that may arise.
  • Performs other duties as assigned by manager.
  • Other duties as assigned.
