Job Summary:

The Maintenance Coordinator supports the maintenance and automation functions by coordinating preventative maintenance activities, ensuring accurate CMMS data, tracking work orders, maintaining documentation, and supporting equipment readiness across multiple production locations. This role provides essential administrative, planning, and organizational support to ensure routine maintenance is completed effectively, troubleshooting is escalated appropriately, and equipment rollouts remain structured and consistent. The coordinator works closely with technicians, operators, and regional teams to maintain uptime, organize spare parts, and ensure accurate maintenance records. This position is ideal for someone detail-oriented, organized, and eager to grow their skills in maintenance planning, equipment coordination, and automation support.

Schedule: Monday - Friday 9:00AM - 5:00PM with OT when needed.

Duties/Responsibilities:

  • Maintain and update automation asset profiles, PM schedules, and task lists within the CMMS.
  • Ensure all PMs and work orders are completed, documented, and closed accurately.
  • Track key maintenance metrics such as PM compliance, downtime causes, MTTR, and MTBF.
  • Manage automation spare parts, including min/max levels, reorder points, and BOM accuracy.
  • Perform cycle counts and reconcile CMMS inventory with physical stock.
  • Organize and label parts storage, ensuring proper documentation and part traceability.
  • Build initial CMMS setups, PM templates, BOMs, and asset entries for new equipment rollouts.
  • Assemble rollout kits, stage equipment, and support logistics for installations.
  • Maintain rollout trackers, dashboards, and readiness checklists for deployment projects.
  • Develop and update SOPs, work instructions, logs, and other technical documentation.
  • Maintain manuals, diagrams, and reference materials to support maintenance teams.
  • Collect cycle-time data, fault codes, and operational information for SME analysis.
  • Perform light mechanical and electrical tasks such as inspections, cleaning, and basic part replacements.
  • Assist operators with safe start-up, shutdown, and routine equipment procedures.
  • Immediately escalate major equipment issues or unusual machine behavior to the Automation SME. 

Required Skills/Abilities:

  • Basic understanding of preventative maintenance and equipment upkeep.
  • Familiarity with CMMS platforms (FIIX preferred) or willingness to learn.
  • General knowledge of inventory management principles.
  • Ability to read manuals, part diagrams, and basic technical documentation.
  • Strong organizational skills and consistency in documentation.
  • Intermediate Excel/Sheets skills (filters, basic formulas; VLOOKUP/pivots a plus).
  • Clear communication skills when working with technicians, operators, and cross-functional teams.
  • Ability to follow structured processes and guidelines.
  • Willingness to learn automation systems, maintenance fundamentals, and reliability concepts.

Education and Experience:

  • High School Diploma or GED required
  • Vocational school, technical training, or associate's degree in maintenance, automation, or a related field preferred.
  • 1-3 years of experience with CMMS systems, maintenance planning, or parts inventory management.
  • Experience in manufacturing, plant maintenance, or automation support is a plus.

Physical Requirements:

  • Ability to lift and carry heavy objects up to 75 pounds.
  • Comfortable working in environments with exposure to noise, dust, heat, cold and other industrial elements.
  • Ability to work in a warehouse environment with variable temperatures and humidity levels.
  • Willingness to work flexible hours and occasional overtime as needed, including weekends, public holidays, and evenings.
  • Must be able to stand, walk, bend over, and pick up items and have constant movement for the duration of the shift.
  • Must be able to lift, push, kneel, and pick up items, both small and large.
  • Capability to operate heavy machinery such as pallet jacks and forklifts safely and efficiently.

Work Schedule (Non-Exempt):

This position is scheduled on a full-time basis. Specific shift times and workdays are determined by the operation and may vary by location. Business needs may require work on evenings, weekends, and holidays, as well as occasional overtime. Scheduled start and end times, assigned shifts, and workdays are subject to change based on staffing and operational requirements. Whenever feasible, advance notice of schedule changes will be provided.
