Position Overview & Key Responsibilities:
LiveHappy, LLC is seeking a highly motivated and organized Sales Assistant to join our team. This position is tailored for a detail-oriented individual with experience in inventory management, client relations, and CRM systems. The ideal candidate will play a critical role in supporting our administrative, sales, and compliance operations, ensuring seamless day-to-day functionality and exceptional client experience.
Key ResponsibilitiesAdministrative & Clerical Duties:
· Manage office supply inventory, ensuring necessary items are stocked to maintain efficient operations.
· Maintain physical and digital filing systems, ensuring compliance and other documents are well-organized and securely stored.
· Collect, organize, and process daily reports, including projections, allocations, and orders, to ensure accuracy and timeliness.
· Run office-related errands, as required, to support compliance and operational efficiency.
· Maintain the conference room in a professional, clean, and organized state, emphasizing bag appeal for client interactions.
Compliance & Inventory Management:
· Monitor and update inventory in designated areas, including the conference room, ensuring levels are accurate and compliant with regulatory standards.
· Coordinate with the compliance team to conduct regular inventory audits, documenting any discrepancies and implementing corrective actions.
· Assist with maintaining compliance checklists, ensuring all inventory aligns with state and company standards.
· Update pre-order and projections sheets with accurate product allocations and order details.
CRM & Client Outreach:
· Utilize the CRM system to track client information, preferences, and interactions.
· Conduct daily outreach to clients via phone, text, or email, updating them on product availability, new offerings, and sales materials.
· Maintain an up-to-date client database, ensuring accurate documentation and follow-up.
· Coordinate with the sales team to ensure all client orders and communications are properly documented in the CRM.
Sales & Marketing Support:
· Accompany buyers during quality control checks to ensure all products meet compliance and quality standards.
· Assist with the setup and presentation of products for clients, focusing on visual appeal and accurate labeling.
· Represent LiveHappy at off-site sales and marketing events, ensuring professional and compliance-aligned interactions.
· Create and post daily media updates on platforms like Telegram, highlighting product offerings, company updates, and client engagement.
Spreadsheet & Reporting:
· Create and manage spreadsheets to track allocations, inventory levels, and order updates.
· Monitor projection sheets and reconcile them with actual orders and sales data.
· Compile and share reports on client activity, inventory levels, and sales metrics.
Qualifications:
· Previous experience in sales support, administrative roles, or inventory management; familiarity with CRM systems is a strong plus.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with inventory software or other relevant platforms.
· Exceptional organizational skills with acute attention to detail.
· Strong communication skills, both written and verbal, with a customer-focused mindset.
· Ability to manage confidential information with professionalism and discretion.
· Adaptability to a fast-paced environment and willingness to take on diverse tasks.
Confidentiality and Compliance:
· Handle all company and client information with the utmost confidentiality.
· Sign a Non-Disclosure Agreement (NDA) as a condition of employment.
· Ensure all actions align with company policies and compliance standards.
Miscellaneous Responsibilities:
· Assist with media creation and dissemination, ensuring consistent brand messaging.
· Maintain a strong focus on bag appeal in the conference room, ensuring all products and presentations are flawless.
· Support additional administrative, clerical, or sales-related tasks as needed to ensure team success.
