Job DescriptionWe are looking for a detail-oriented and organized Purchasing Coordinator to join our team in Thousand Palms, California. The ideal candidate will play a critical role in managing purchasing activities, maintaining accurate records, and supporting cross-functional departments.
Responsibilities:
• Create and issue purchase orders to suppliers based on approved requisitions, ensuring accuracy in quantities, pricing, and delivery terms.
• Monitor open purchase orders and follow up with suppliers to guarantee timely delivery of materials or services.
• Maintain and organize purchasing records, invoices, and contracts for easy accessibility and compliance.
• Update and manage databases with supplier, product, and pricing details to ensure information is up to date.
• Prepare and analyze reports on purchasing activities, expenses, and vendor performance to support decision-making.
• Collaborate with other departments to address their procurement needs and provide solutions.
• Assist the Purchasing Manager with special projects or initiatives, contributing to team goals.
• Review and verify invoices to ensure they align with purchase orders and resolve discrepancies as needed.
• Communicate effectively with vendors to negotiate terms, clarify orders, and address any issues that arise.• High school diploma or equivalent required; an associate's or bachelor's degree in business, supply chain, or a related field is preferred.
• At least 2 years of experience in a purchasing, procurement, or administrative role.
• Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
• Familiarity with CRM, ERP systems, and accounting processes such as accounts payable and order entry.
• Strong organizational and time management abilities, with an emphasis on meeting deadlines.
• Excellent attention to detail and accuracy in managing orders and documentation.
• Effective communication and interpersonal skills for vendor and team collaboration.
• Analytical mindset to review data and address procurement challenges effectively.
