We are seeking a detail-oriented Office Administrative Assistant to join our team! This entry-level role supports daily office operations, basic project documentation, and administrative tasks to ensure projects run efficiently.
Responsibilities:
- Assist with preparing and completing project documents including change orders, contracts, and transmittals
- Help coordinate and schedule appointments, jobs walks, deliveries, and meetings with clients, vendors, and project teams
- Greet and assist showroom guests, clients, and vendors in a professional and courteous manner
- Maintain organization and cleanliness of the showroom on a weekly basis
- Answer incoming phone calls and emails, providing accurate information, timely follow-up, and directing inquiries to appropriate team members when necessary
- Maintain and organize digital and physical filing systems for contracts, project records, and documentation
- Track document and follow up as needed
- Provide general administrative and office support to the team
Qualifications:
- Previous experience in office administration, construction administration, or a related field is a plus
- Strong willingness to learn and take direction
- Ability to stay organized, multitask, and meet deadlines
- Excellent written and verbal communication skills
- Strong attention to detail and organizational skills
- Proficiency with standard office tools (email, document management, spreadsheets) preferred
